Birds of a Feather:
General Information



A Birds of a Feather (BOF) meeting is a graphics-related, attendee-organized, informational discussion of shared interests, goals, technologies and/or backgrounds. The key word there is “discussion.” Attendees gather to discuss a topic, not listen to presentations.

BOF meetings must be:

  • Related to computer graphics or interactive techniques
  • Open to all registered SIGGRAPH 2018 attendees
  • Non-commercial in nature (topics specific to one commercial product or company are not allowed)
  • Free of recruitment, sales, product tutorials or company promotion
  • Free of charge

All Birds of a Feather requests are reviewed for approval. Exceptions will be considered for reunion-type or industry non-profit groups for some requirements.

 

Session Submission

BOF session requests can be made through the SIGGRAPH 2018 website until 27 July 2018. Make sure all the information in your submission is complete. Missing information may delay processing your request.

A separate online request form must be filled out for each event, even if from the same submitter/organization.

 

BOF sessions can be no longer than three hours including set up and teardown.

Organizers of longer events, or those who submit multiple requests for the same day for more than three hours, should consider becoming a co-located conference.

BOF sessions cannot start prior to 8 a.m. or end after 6 p.m. at the convention center. There are no time restrictions for BOFs assigned to hotels.

 

BOF Meeting Rooms

BOF meeting rooms are assigned first-come, first-served based on room setup and expected attendance.

There are multiple BOF rooms in the Vancouver Convention Centre. Each has a permanent set for 75-150 people and is set up as either fishbowl (theater seats in rounds) or with rounds. No changes to these setups are permitted. Attendance cannot exceed seats in any meeting rooms. Any BOF meeting that exceeds seating capacity may be stopped by the Vancouver Fire Marshall.

The 90-seat ACM SIGGRAPH Theater in the convention center is also available for presentations with a strong national or international focus, or presentations that are highly relevant to the ACM SIGGRAPH organization. Audio/video equipment is provided at no charge in this room. Presentations must be approved by the International Resources Committee. If you are interested, check the appropriate box provided as you are filling out your BOF submission and the committee will be in touch with you to verify.

If a group expects to exceed the numbers listed above, requires an alternative setup or would like to meet later than the allowed times in the convention center, select a hotel from the drop-down box in the BOF form as the BOF location. All official SIGGRAPH 2018 hotels with meeting space can host BOF meetings.

Do not contact the convention center or any hotels until you have received your confirmation from SIGGRAPH 2018 Conference Management. Venues cannot assign meeting space or confirm details until this approval is received.

 

Costs

Meeting space in the convention center is complimentary, but limited.

Meeting space in most hotels is also no charge, but setup fees or a minimum of food and beverage purchased may apply. SIGGRAPH 2018 conference management will let you know if there could be any hotel fees prior to confirming your space request.

Payment for all services (food and beverage, audio/visual, etc.) is the responsibility of the BOF organizer.

 

Audio Visual

No audio visual is provided in the BOF rooms. All audio visual is the responsibility of the organizer. Organizers may provide their own or order through the contact provided in the BOF confirmation.

 

Confirmation

If your request is approved, you will receive an email acknowledgment within two weeks that includes all necessary contact information. BOF meetings located in hotels will receive a confirmed room assignment at that time. BOF meetings held in the convention center will receive a room assignment four weeks prior to the conference.

 

Event Publication

All BOF event information will be published on the SIGGRAPH 2018 website and the conference mobile app.

BOF meetings must be held in one of the official hotels or the Vancouver Convention Centre to be publicized. Events in other locations will not be advertised in any SIGGRAPH 2018 conference materials.

ASCAP/BMI fees: ASCAP and BMI are membership associations of US composers, songwriters, and publishers of every kind of music. Whenever music (recorded or live) is played at an event, a license must be purchased from these associations. The license purchase is the responsibility of the organizer and not the venue where the event is to be held.

Exhibitor Meeting Space: Exhibitors are not approved to use BOF meeting rooms. Exhibitors are required to complete an exhibitor meeting space form provided by exhibition management. See your exhibitor information kit for a form.
